We are seeking a highly organized and proactive Office Administrator to support our executive team and maintain a professional and collaborative office environment. This individual will play a critical role in day-to-day operations by exercising sound judgment, managing multiple priorities with minimal supervision, and handling confidential matters with discretion. This is an excellent opportunity for someone with strong administrative experience and excellent communication skills who thrives in a fast-paced environment.


Responsibilities:

  • Provide direct administrative support to the executive team, including booking travel and managing expense reports

  • Manage and prioritize the executive’s calendar, appointments, and sensitive matters

  • Welcome and assist visitors;coordinate their access to appropriate departments

  • Draft and edit correspondence, emails, memos, and other written communication on behalf of the executive team

  • Prepare and consolidate PowerPoint presentations for internal and external meetings

  • Organize meetings and special events including scheduling, sending reminders, arranging catering, and preparing materials

  • Maintain and manage electronic and physical records of company documents (contracts, agreements, SLAs, etc.)

  • Coordinate logistics for Board of Directors meetings, executive meetings, and offsite events

  • Handle multiple assignments and prioritize changing business needs effectively

  • Perform additional administrative duties as assigned


Qualifications:

  • Associate degree in Business Administration or related field preferred

  • Minimum 2 years of experience supporting senior executives in an administrative or office coordinator role


Skills and Abilities:

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe, and Visio

  • Proven ability to manage complex schedules and maintain strict confidentiality

  • Strong organizational and time management skills with attention to detail

  • Experience with travel coordination and event planning

  • Excellent written and verbal communication skills

  • Ability to function effectively under pressure and meet tight deadlines

  • Familiarity with office administration and clerical procedures

  • Positive, proactive attitude and ability to support corporate social responsibility initiatives
